Accessing Archived Databases

You may want to access jobs after you have archived them. There are two ways to do that:

  1. You can open archive databases and view data in them, and

  2. You can copy estimate items from archived jobs.

Open Archived Databases

To open archived databases, go to the ContractorTools main menu and select "Companies" in the upper left corner.

The Companies popover has two sections: "Companies", and "Archives". The Companies section lists your company databases. The Archives section has one entry for each company. Select a company in the Archives section to view the archives in that company. 

Selecting one of the archives will display a message that says "You can view the archived data, but you can't modify it." Select "Load Archive" to proceed.

This will download and open the archive database. ContractorTools reminds you when it has an archived database open by displaying a message: "Viewing (date...) Archive (editing is disabled)" in the top line of the screen with a sienna colored background. You may access any of the information in the archived jobs, but you cannot edit any of it.

To return to your active database, go to the ContractorTools main menu, select "Companies" in the upper left, then select your company from the "Companies" section.

Accessing Archived Data

While you can view all data in archived databases, you cannot make any changes in the archived databases. You can however email or print anything that can be emailed or printed in the live database. So, for example, if you need to re-print an invoice from a job that has been archived, you can go into the archive database, select the job and print the invoice. 

If you accidentally archive a job that you need to work with, you will need to create a new job (in the active database) and copy the estimate from the archived job into the new job. To do that, create the new job, select "Estimate", then tap "+" to add a new item. In the New Item popover, select "From an Archived Job". This will prompt you to select the archive database to open, and then the job and estimate items in that archive.

You can also copy estimate items from archived jobs into any job in the live database. To do that, open the job you want to copy into, select "Estimate", then tap "+" to add a new item. In the New Item popover, select "From an Archived Job". This will prompt you to select the archive database to open, and then the job and estimate items in that archive.
