Attachments
Job project management often requires attaching photos and files to jobs, including job site photos, contract terms boilerplate, plans, specifications, cut sheets, warranty text, and anything else you want to keep with the job or print in its documents. Every attachment is stored once per job and can be attached to as many documents and items as you like.
Where attachments live
Open a job and choose Attachments from the job menu. This list shows every photo and file in the job, with:
Caption – the name shown in lists and printed under photos. Tap or click it to change it.
Kind – Photo, PDF (with its page count), Text, or Document.
Used In – where the attachment is attached, one row per place. An attachment that isn't attached anywhere shows None.
Included – whether that use is printed in its document.
From here you can add photos and files to the job without attaching them anywhere yet, preview any attachment with Quick Look, or delete it from the job. Delete from Job removes the attachment from every document it is attached to and deletes the file on all of your devices.
Attaching to estimates, change orders and invoices
Estimates, Change Orders and Invoices each have Photos and Files tabs.
The Photos and Files tabs have different tabs within them to indicate where the attached photos or files will appear in the printed documents:
Tab | Estimates and change orders | Invoices |
Photos | Cover Photo, Full Page Photos, Grid Photos | Description Photos, Addendum Photos |
Files | Description, Terms, Addendum | Description, Addendum |
Adding Photos and Files
You can add photos from the camera, your photo library, the Files app or the Finder, or choose From Job Library to attach photos already in the job. Add files by browsing for them or from the job library. Any files or photos you add are added to the job's attachments (library), so you they can be reused elsewhere.
The Files tab accepts PDF and plain text (.txt) files, the two kinds that can be printed. Up to 30 MB per file.
Attaching to items and invoice lines
Estimate items, change order items and invoice lines each have an Attachments option.
When you attach photos to a line item, the photo will be printed under the line item in the document.
When you attach a text file to a line item, the contents of the text file will be printed under the line item.
When you attach a PDF file to a line item, a note that says “See (attachment caption) addendum below.” to indicate that attached file is printed at the bottom of the document.
The Include switch
Attachments have an Include switch:
On: means the attachment will be printed in the designated location in the document.
Off: the attachment stays attached, so it is easy to find and share, but it does not appear in the document.
Cover, full page and grid photos are always printed.
How attachments print
Files tab, Description or Terms: a text file prints as paragraphs after the section's text; a PDF is inserted page for page, at its own page size, with the document continuing afterwards.
Files tab, Addendum: printed at the end of the document, after the grid photos, under an Addendum heading.
Invoice photos: Description photos print as a row of thumbnails with their captions after the invoice description; Addendum photos print at the end, four to a page.
Items and invoice lines: photos print as thumbnails with captions under the item's description, and text files as paragraphs. A PDF prints the line "See (caption) addendum below." under the item, and its pages are appended at the end of the document.
The document settings ( tap “Settings” while viewing a document) has an Attached Files switch ("Files in Description, Terms and Addendum" on estimates, "Photos and Files in Description and Addendum" on invoices) that turns all attached files and item attachments off for documents printed with that template.
Removing an attachment from a document
Swipe (iOS) or select and click Delete (Mac) in any attachment list. You can Remove from this Estimate (or Invoice, Item, Invoice Line), which leaves the attachment in the job for use elsewhere, or Delete from Job, which removes it everywhere and deletes the file.
Syncing
Attachments automatically sync to other devices along with the job. A file that was added on another device shows "not downloaded to this device yet" until it arrives, and is left out of documents printed on this device until it is synced (downloaded).
