Estimate Versions

Estimate Versions let you save copies of your estimate.

Written by Dan Fellman

If it looks like the process of discussing an estimate with a customer is going to get complicated, you might want to save a copy of each version of the estimate that you submit, so you can refer back to it later, or even restore it if necessary.

Saving a version

Open a job, choose Job Info, and then Estimate Versions. Tap or click + and confirm. The app saves a copy of the estimate's items as a new version named Version 1, Version 2 and so on, together with the estimate's total at that moment and the email address of the account that saved it.

Only the estimate items are saved, not the estimate's description, terms, proportional costs. You can save a version at any time, including after the estimate has been locked by a change order or an invoice.

The versions list

Each version shows its name, the total the estimate had when the version was saved, and when and by whom it was saved. The total does not change, even if you change the job's markups, discounts or taxes, because it records what the customer was given at the time the estimate was saved.

A version has

  • Name – tap or click to rename the version, for example "Sent 11/5" or "With the deck option". Leaving it blank restores the default name.

  • Saved – when the version was saved.

  • Saved By – the email address of the account that saved it.

  • Total When Saved – the estimate's total at that moment.

  • Items – how many items the version holds.

Below these are three buttons:

  • View shows the version's items the way the estimate's Items screen does, with groups you can open and items you can look at. A version can't be edited; to make changes in it you have to restore it.

  • Restore saves the estimate's current items as a new version, and makes this version the estimate again. The version itself stays in the list, so you can restore it again later.

  • Delete removes the saved version. The estimate itself is not affected.

When a version can't be restored

Restoring a version replaces every item in the estimate, so it follows the same rules as editing the estimate:

  • The estimate must not be locked. The estimate is locked once the job has a change order or an invoice, or its status is past Lead. The message tells you which applies.

  • No item in the estimate may have been invoiced, have actual costs entered against it, or be on a purchase order.

Saving and viewing versions is always allowed.

Versions and your other devices

Versions sync to your other devices like everything else in the job. They are never printed, never sent to the customer and never sent to QuickBooks or the web portal.
